Training and Education Certificate WUR
For the TESF procedure we are currently in the transition from an old to new procedure. The procedure that applies to you depends on your defence date. Please read the explanation below and check which procedure applies to you.
The Hora Finita portfolio will be the central place where PhD candidates can keep track of their training activities. The searchable portfolio overview will be visible to the PhD candidate, the PhD supervisors and the graduate school, and can also be downloaded. In the final phase of the PhD trajectory the portfolio will also be used to request the PE&RC education statement and certificate.
Transition from old to new procedure
- If you are defending after 1-1-2027:
Please start using the Hora Finita portfolio to keep a record of your training activities, and include all items since the start of your PhD trajectory. When you have reached the end of your PhD trajectory, you should request your education statement and certificate via the PhD checklist item “Portfolio approval” in your Hora Finita dashboard.
- If you are defending before 1-1-2027:
You (and your supervisors) can decide (together) whether you should start to use the Hora Finita portfolio.- Option 1) If you decide to use the portfolio, please include all the training items since the start of your PhD trajectory, and at the end of your PhD trajectory request your education statement and certificate via the PhD checklist item “Portfolio approval” in your Hora Finita dashboard.
- Option 2) If you decide NOT to use the portfolio, please continue to use your PE&RC TESF and at the end of the PhD trajectory use the old procedure as described here for requesting the PE&RC certificate. If your request gets approved, we will check mark the “Portfolio approval” item in your Hora Finita PhD checklist. Please note that your supervisor will also have to approve the document in Hora Finita.
- If you are in the final phase of the PhD trajectory (expected to defend before 1 September 2026):
We advise you to use your PE&RC TESF and the old procedure as described here requesting the PE&RC certificate and NOT to use Hora Finita for this. If your request gets approved, we will check mark the “Portfolio approval” item in your Hora Finita PhD checklist. Please note that your supervisor will also have to approve the document in Hora Finita.
- If you already handed in your PE&RC certificate request:
No action needed, we will process your request via the old procedure.

Training and Education Certificate VU
PhD candidates from the Vrije University need a signed TESF to set the defence date.
To obtain the Certificate, you have to fill in the Training and Education Statement Form (TESF). This document is very similar to the TSP you created in your first months, but now contains all activities you have performed.
Before submitting a final signed version for approval, you must send a draft version to Claudius van de Vijver to check whether all requirements are met. Once the TESF has thus been approved informally, you should:
- Submit the final version of the TESF, signed by the PhD candidate and the promotor, in PDF to Claudius van de Vijver;
- Submit the final (unsigned) version of the TESF, as a WORD document to Claudius van de Vijver;
Then you will receive the PhD certificate for publication in your thesis from PE&RC. The hard copy of the certificate will be sent to your University when the defence date is known.
Training and Education Certificate RU, UL, UVA, UU
PhD’s from Radboud University, Universiteit Leiden, University of Amsterdam or Utrecht University:
Once your date of defence is known, you can request a Training and Education Certificate from PE&RC.
To obtain the Certificate, you have to fill in the Training and Education Statement Form (TESF). This document is very similar to the TSP you created in your first months, but now contains all activities you have performed.
Before submitting a final signed version for approval, you must send a draft version to Claudius van de Vijver to check whether all requirements are met. Once the TESF has thus been approved informally, you should:
- Submit the final version of the TESF, signed by the PhD candidate and the promotor, in PDF to Claudius van de Vijver;
- Submit the final (unsigned) version of the TESF, as a WORD document to Claudius van de Vijver;
In the following you will receive the PhD certificate for publication in your thesis from PE&RC. The hard copy of the certificate that will be sent to your University when the defence date is known. It is your responsibility to inform us of the defence date and the address to which the certificate must be sent.
Doctoral Regulations
Candidates are advised to check the Doctoral Regulations of their university for detailed requirements.
In addition, the list of completed educational activities (from the TESF) may be reported on the next-to-last page of your thesis. It is sufficient to specify the type of course (discipline specific activities, general courses, assisting in teaching and supervision activities and other activities) and the year in which the course took place. The title of this page in the printed thesis should be: “Overview of completed training activities”.
